Director of Student Accounts
General Description
Reporting to the Vice President for Student Development the Director of Student Accounts is responsible for leading the College’s student accounts receivable functions which include assessment of tuition and fees, billing, and reconciliation of College revenue received from students. The Director is also responsible for maintaining the Ellucian Colleague and Self-Service systems to record all billing transactions accurately and manage the delivery of enhanced technology-based Student Finance services to students.
Characteristics, Duties, and Responsibilities
Hire, supervise, develop, and evaluate the staff in the Student Accounts Department; provide assistance in the interpretation of regulations and audit requirements.
Ensure applicable laws, regulations, policies, and procedures are applied to student account processes; maintain knowledge of federal, state, and industry statutes, regulations, and standards for accounting, financial reporting, and other matters related to areas of responsibility.
Monitor and evaluate operational processes in the Student Accounts Department for efficiency and desired outcomes and recommend improvements as necessary, to enhance workflow, accuracy, and service to students.
Works closely with the Finance Division, the Director of Business Systems, the Director of Financial Aid, Registrar, and constituents across campus in fulfilling the responsibilities. Collaborates with all Student Development colleagues to optimize the customer service environment for students.
Remains cognizant of best practices and establishing/updating procedures to ensure the College’s compliance with applicable regulations.
Establish set policies and procedures for the successful operation of student billings and receivables.
Administer all phases of participation in the enrollment cycle of all categories of students.
Increase and sustain high levels of internal control in all stages of the fiscal interface.
Responsible for coordination of all activities with the Financial Aid Office to assure conformance to guidelines of Federal and State sponsored student aid programs.
Control billing of tuition to sponsoring agencies and charge back of tuition differential to sponsoring counties.
Responsible for maintenance and system improvement of the student billing and receivable Ellucian Colleague system modules, including personnel training and assignment.
Responsible for timely and accurate payment of student financial aid items and refunds/billings created by student schedule changes.
Responsible for accurate annual federal 1098-T
IRS
processing.
Develop assessment plans for student outcomes which align with the College and Division standards for student success.
Reconcile tuition and fees, sponsorships, partner program payables and receivables to the general ledger. all duties assigned by supervisor or his/her designee.
Education Requirements
Requires a Master’s degree in Business, Finance, Accounting or a directly related field or equivalent combination of education and experience to demonstrate core competencies.
Experience
Five years progressively responsible experience in a Student Accounts or Bursars office, with at least three years at a leadership level managing personnel.
Six years progressively responsible experience in a college student billing and receivable system. Ellucian Colleague preferred.
Knowledge of student aid, accounting, federal and state student aid regulations.
Competencies and Skills Required
Intermediate knowledge of Microsoft Excel (minimum)
Strong knowledge of Colleague and
ODS
reporting.
Supervising and management skills required. Must be self-motivated individual with ability to manage and coordinate workload of busy department.
Must have skills in oral and written communications to all College management levels
Physical Demands and Work Environment
This position’s duties are normally performed in a typical interior/residence work environment, based on the activity scheduled.
Some physical effort required; however, the employee must occasionally lift and/or move up to 25 pounds.
No or very limited exposure to physical risk.
Some travel required.
