Program Support Assistant
JOB TITLE: Program Support Assistant
DEPARTMENT: Early Childhood Education
FLSA STATUS: Non-Exempt
OVERALL PURPOSE: This position is responsible for assisting with daily operations of the Family Center and the Parents as Teachers Programming
ESSENTIAL FUNCTIONS:
1. Assist with all clerical responsibilities as requested
PERFORMANCE MEASURES:
- Assist with the inventory and ordering of supplies, equipment and materials
- Assist with maintaining, arranging and organizing supplies as they arrive in a timely fashion Assist with inputting data on computer, making copies or running errands as assigned
- Assist with data entry to maintain records
2. Assist with answering phones and customers entering the building
PERFORMANCE MEASURES:
- Maintain friendly customer service
- Answer phone promptly and screen calls to ensure proper direction
- Maintain knowledge of all agency departments, programs, and staff as well as other agencies to provide appropriate information and referrals upon request
- Answer questions or contact necessary person to secure answer and follow up as necessary Document all contacts when assistance is provided
3. Maintain an organized filing system
PERFORMANCE MEASURES:
- Maintain a filing system to better serve Parent Educator Home Visitors
- Provide filing assistance
- Ensure the current version of the PAT curriculum is on file
- Purge any old PAT curriculums
4. Assist with the parenting groups
PERFORMANCE MEASURES:
- Assist with maintaining a safe learning environment and ensuring all safety requirements are met
- Ensure classroom is clean and meets the standards for a healthy learning
- Provide support
5. Attend meetings and trainings to further professional development
PERFORMANCE MEASURES:
- Attend all required meetings and trainings
- Take minutes or notes as needed
- Be prepared and participate
- Seek out opportunities for continued professional development
OTHER DUTIES and REQUIREMENTS OF JOB:
- Maintain the reception, workroom and other common areas to ensure they are tidy and clean
- Mandated reporter of child abuse and neglect
- Perform other related duties as required
SUPERVISION RECEIVED:
Supervision is received from the Family Center Manager
QUALIFICATIONS
EDUCATION
- High School or GED required
LICENSES OR CERTIFICATIONS
- Mandated Reporter Child Abuse Training
- PAT Data Enter Training
EXPERIENCE AND/OR TRAINING
- Two years related experience preferred
KNOWLEDGE, SKILLS, AND ABILITIES
