Key responsibility is to provide the necessary clerical and administrative duties associated with a comprehensive school counseling program.  This position would support the daily operations to ensure a smooth, efficient and organized counseling office. Responsibilities include organizing, managing and communicating about the activities of the counseling department, to include college and career activities and resources, registration and academic advising events, and social/emotional programming and support resources. 


  • Manage the flow of students through the counseling office ranging from welcoming students and families who have scheduled appointments to assessing crisis level of students seeking counselor support.
  • Maintain a high level of confidentiality regarding student records and student/family personal situations. 
  • Must have strong customer service skills to support a welcoming environment for students and parents. 
  • Must have the ability to effectively communicate with diverse groups.
  • Maintain catalogs and materials related to job opportunities, careers, technical colleges, scholarships and the Armed Forces.
  • Manage the communication and marketing components in the counseling department including organizing for publication, the monthly newsletter for the Counseling Department.  
  • Schedule appointments with college representatives and recruiters, advertise their visits, and find available meeting areas.
  • Uploading and sending college application documents, letters of recommendation, school profile etc. to support the administrative duties related to college admissions. 
  • Support students, teachers and parents in utilizing the career/college resources in the Career Center.
  • Assist counselors in completing the college and scholarship applications process including following up with students on assigned tasks given by the counselor. 
  • Maintain relationships with various community partner organizations for a comprehensive and updated system of resources for counselors to access for student support.
  • Liaison between the counselors and college admissions officers as needed. 
  • Event Coordination related to the 3 domains in Comprehensive Counseling - for example, college application bootcamp, essay workshops, financial aid planning and scholarship night, resiliency groups etc.
  • Maintain computers, software, network and/or hardware in the Career Center. 
  • Ability to work scheduled days and evening events as needed. 
  • Coordinate with teachers for counselors to administer Career Interest Inventory and provide interest inventory evaluations for individuals, groups and classrooms.
  • Manage reporting of counseling related activities and programming to provide counselors with information to follow up on specific actions with their caseloads.
  • Work with counselors to provide student support and follow-up. 
  • Maintain post-secondary planning software platform to update college admission personal information. 
  • Administer and coordinate all aspects of the local scholarship program, to include updating donor information, coordinating application review, being the liaison between students, counselors, parents and donors, collecting winner lists, and all aspects of coordinating the evening celebration. 
  • Attend appropriate in-service, building meetings, training, parent conferences and/or school functions.
  • May work with critical skills classes on college research projects.
  • Work with school leadership team and administration for graduation needs.
  • Regular communication and marketing to students, parents and staff regarding career and college information, dates, programs etc. including utilizing College Guidance Network or other support platforms.
  • Organize and run the In-State College Fairs, career information events, career fairs.
  • Ability to work with teams at all levels of the organization and able to work with little direction; self starter.
  • Ability to adapt to changing work priorities and working with frequent interruptions.  
  • Run reports, process data, and prepare materials as directed by counselors and administrators.
  • Perform other duties as assigned. 


  • Bachelor’s degree
  • One year of related office or administrative experience 
  • Bilingual preferred. 
  • Excellent organizational skills 
  • Previous experience with Google suite preferred
  •  Professional verbal and written communication skills
